Update Permissions for user that can assign Acknowledgements

The transfer of knowledge step is a critical step that assigns policies to inform staff about new and updated processes to ensure they are knowledgeable and accountable and to reduce risks for the patients and employees and overall errors across an organization. Users that can assign Acknowledgements are only allowed at certain permission levels, specifically Area_Manager level. This level is an elevated permission level that also grants the user access to manage, edit, and archive policies in their policy level.

We need another permission level for users that are only performing the transfer of knowledge process to allow them to create and manage a user group for their staff, assign policies to their staff, and monitor the progress of these acknowledgements in the tracking area. These users, running into the hundreds for a large 20,000 plus employee organization, do not have the responsibility to manage, edit, approve or even own policies but they do manage people. Because of this, they need to be restricted to only those tasks.

The area_manager permissions can remain the same but we need a separate permission level and area for these tasks in PolicyStat for just these transfer of knowledge tasks. If not, they are granted access to things they should not be able to do, as well as areas they should not be in, and it is not reasonable to require policy owners, area managers or the administrator to handle the sheer volume of this task to ensure the appropriate staff are assigned and reviewing their policies.

@tamara.westgate - A workaround for this is to create a separate area that is not used on any policies (we titled ours ‘Acknowledgments’). This area is ‘hidden’ within the show/hide areas in PolicyStat. Users that you do not want to edit policies, but need to assign acknowledgments can be given Manager permissions within the “Acknowledgments” area for the “All Locations” applicability. When assigning this permission type, the individual can assign acknowledgments, run acknowledgment reports, create/edit user groups.

Another benefit is that the user does not become inundated with PolicyStat notifications for every policy in a particular area/applicability, because there should be no actual policies created in the “Acknowledgments” area. For this reason, we exclusively use the “Acknowledgments” area to manage permissions of individuals that are assigning acknowledgments.

It is a separate area (not site/location). I’ll e-mail you some screen shots.

This would be beneficial if a staff member has been asked to review a policy/document as a result of an error or near miss. If possible to assign a policy/document to that staff member and they must acknowledge they have read and understand the policy/document.

I would appreciate if this is done elsewhere, can somebody explain how this is set up?
